Christmas party transport for teams: everyone gets there, and everyone gets home
The party budget has a line for the venue, the food and the DJ, and nothing for the moment at 01:00 when forty people are outside in Shoreditch looking at a 4× surge. Pre-booked cars at fixed prices — staggered by time, grouped by postcode, on one invoice — are cheaper than the apps, safer for staff and much easier to explain to finance.
The 1am problem: apps surge, staff wait in the cold
Every Thursday and Friday from the first week of December, the same thing happens outside every popular venue in London at closing time: hundreds of people open the same app, prices multiply, drivers cancel, and the most junior members of staff — the ones least able to absorb a £70 fare — are the ones left waiting. Companies that pre-book find the total cost is usually lower than the aggregate of expensed app rides, and the evening ends better.
Options: shuttle minibus, staggered cars, home-run vouchers
Shuttle minibus
An 8-seater, 9-seater or 16-seat minibus running venue → a central drop point (a station or the office) on a loop, priced hourly. Best for big parties where most people go on to the same place.
Staggered cars
Saloons and MPVs booked at 23:00, 00:00 and 01:00, grouped by area (north, south, east, west). Each car door-to-door at a fixed price. Best for parties of 20–80.
Home-run allowance
Staff book their own fixed-fare car under a company code up to a set value per head; one invoice at month end. Best for large or dispersed teams.
Duty of care and expenses: what HR needs
Employers have a duty of care towards staff at a work-organised event, and that extends to getting home. A pre-booked, TfL-licensed transport plan is straightforward evidence of it. Practically: every driver is licensed and identified, every journey is timestamped, nobody has to share a stranger's car, and the invoice is a single line for finance rather than 40 expense claims with screenshots. We can provide a one-paragraph statement of licensing and insurance for the HR file.
Popular venues and their pickup realities
- Shoreditch and Old Street: narrow streets, no waiting on Shoreditch High Street. We agree a point on Great Eastern Street or Curtain Road.
- Canary Wharf: good — hotel and office forecourts, cars can wait. Pickups are simple.
- West End (Soho, Covent Garden, Mayfair): pedestrianised streets, and from late October 2026 the central section of Oxford Street too (Selfridges to Great Portland Street). Pickups on the nearest through road — Great Marlborough Street, Poland Street, Margaret Street — with the driver walking to the door if needed. See L("oxford-street-pedestrianisation-taxi-drop-off.html", "Oxford Street pedestrianisation and drop-off points").
- South Bank and Bankside: busy but workable; we use Southwark Street and Upper Ground.
- Out-of-town venues (Hertfordshire, Surrey): a shuttle back to a London station, or cars grouped by postcode.
Pricing: per vehicle, fixed
Each car is priced as a fixed fare for its journey and vehicle type: a saloon from the West End to Clapham, Islington or Stratford is typically £25–£40; an MPV for six a little more. Minibuses are priced hourly with a minimum. There is no late-night, Christmas or group surcharge on a confirmed booking. See also booking multiple cars for the mechanics of large bookings.
Book by 1 December for 10–20 December dates
The second and third weeks of December are the busiest evenings of our year. Party bookings placed by 1 December get first call on vehicles; after that we work from availability. Set up a corporate account and party transport, airport runs and client cars all land on the same monthly invoice.
Frequently asked questions
- Can staff book their own cars home?
- Yes, under a company booking code with a value cap per journey if you want one. Every journey appears on a single monthly invoice.
- Do you do minibuses?
- Yes — 8, 9 and 16-seat vehicles, priced hourly or per journey.
- What if the party runs late?
- Tell dispatch and we re-time the cars. Waiting time is charged at a published rate; the base fare does not change.
