Conference transfers — common questions
Can you run delegate shuttles between hotels and the venue?
Yes — dedicated vehicles loop your delegate hotels to ExCeL or Olympia on a published frequency, surging with morning registration and evening close, with an on-call car covering the lull hours, all under one event reference.
How do speaker collections work?
Backwards from the session: pickup timed against soundcheck and green-room call rather than the show's opening time, delivery to the correct entrance for the hall, and the return car held through overrunning Q&As — with airport meets for international speakers.
Can stand crews travel with their kit?
Yes — MPVs and 8-seaters carry crews with flight cases, pop-up stands and literature from 6am on build days, and breakdown-night cars run everyone home at fixed fares however late the hall clears.
Do drivers know the venues' entrances and access rules?
Yes — which ExCeL entrance serves which hall number, Olympia's current access arrangements, and the show-morning traffic patterns around both are working knowledge, refreshed against each show calendar.
How is a show billed?
As one per-event statement — shuttle days, speaker cars, crew runs and evening waves itemised and coded to the show — on your corporate account or as a standalone event bill.
Can you handle our clients and VIPs during the show?
Yes — sponsor VIPs and key clients get Executive collections to the stand, meeting-to-meeting moves during the day and dinner transfers after, threaded into the same movement plan.
